Convert to PDF

One converter for the documents people most often need to send as PDF: Office files, OpenDocument, Apple Pages and Keynote, e-books, XPS prints, Hangul HWP and plain text. The PDF keeps the layout, fonts and page breaks of the source, so it looks the same on the recipient's screen and on paper.

Why documents are sent as PDF

Word, PowerPoint and Excel files are instructions for an application: they say which font, which paragraph style and which column width to use, and each computer redraws the page from those instructions. A missing font, a different printer driver or an older Office version is enough to move a page break or wrap a table. That is fine while a document is being edited and a problem once it is final.

PDF fixes the result instead. Adobe introduced it in 1993, and since 2008 it has been the open standard ISO 32000, so every browser, phone and print shop renders a page identically. Converting is therefore the last step of most document work: the editable original stays with you, and the PDF goes to the client, the school portal or the printer. The most common route by far is Word to PDF, followed by slides through PPT to PDF and spreadsheets through XLSX to PDF.

The same converter covers less familiar sources. XPS and OXPS files are what the Microsoft XPS Document Writer printer saves on Windows; Pages and Keynote files come from Apple's iWork apps; HWP is the Hangul Office format used across Korean schools and government; DjVu is a scanned-book format created at AT&T Labs in the 1990s. Each has its own page, such as XPS to PDF or HWP to PDF, listed below.

Which documents convert to PDF and what carries over

Fonts, styles, headers and footers, tables, images and footnotes carry over, and Heading 1–3 become PDF bookmarks.

  • DOC, DOCX, DOCM, DOT, DOTX
  • ODT, RTF, WPS, Pages

Every setting in the PDF converter, explained

Page size and orientation
Page size keeps the size set in the document, or forces every page to A4, Letter, Legal, A3 or A5. Orientation follows the source by default; landscape suits wide tables and slides.
Pages, slides and sheets
Pages converts everything or a Page range such as 1-3, 5, 8-10, counted in the original document. Spreadsheet sheets picks all sheets or only the one that was open when the file was saved.
Bookmarks, comments and notes
Bookmarks from headings is on, so the PDF sidebar mirrors the Word outline. Include comments prints comments and tracked changes in the margin; Include speaker notes adds notes under each slide.
Margins and fitting
Margins keeps the source margins or sets none, narrow (12.7 mm), normal (25.4 mm) or wide (50.8 mm). Fit sheet width to page shrinks wide spreadsheets to one page width.
Image quality and fonts
Image quality is the JPEG quality for photos inside the document, 90 by default and adjustable from 10 to 100. Embed fonts stores the typefaces in the PDF so text looks the same everywhere.
Password and metadata
Open password locks the PDF behind a password. Remove metadata drops the author, company and edit history copied from the source.

PDF or PDF/A: picking the right output

Default

PDF

The everyday format defined in ISO 32000. Opens in every browser and reader and supports passwords.

  • Can be password protected
  • Smaller when Image quality is lowered
  • Fonts embedded unless you switch it off
Best for: Email, job applications, sharing with clients
Archival

PDF/A

The ISO 19005 profile for long-term storage. The file must render the same decades from now without outside resources.

  • All fonts always embedded
  • No encryption, so no open password
  • Required by many e-filing and records systems
Best for: Court filings, theses, government records

Fixing a PDF that does not match the original

Five fixes that cover most mismatches

  • Text moved or a line wraps differently: the converter lacked a font, so embed fonts in the original document or export from the original app when layout is critical
  • A spreadsheet split into dozens of thin pages: turn on Fit sheet width to page, choose landscape, and set a print area in Excel
  • Blank pages at the end come from empty paragraphs or a trailing page break; use Page range to convert only pages with content
  • A portal asking for an archival file: set Convert to to PDF/A and leave Open password empty
  • Too large to upload: lower Image quality to 60–70, or run the result through compress PDF with a target size in KB or MB

Questions about converting documents to PDF

Which file types can be turned into a PDF here?

Word (DOC, DOCX, DOCM, DOT, DOTX), PowerPoint (PPT, PPTX, PPS, PPSX), Excel (XLS, XLSX, XLSM) and CSV, OpenDocument (ODT, ODP, ODS), Apple Pages and Keynote, RTF, TXT, Markdown, HTML, EPUB, XPS and OXPS, DjVu, HWP and HWPX, and WPS word processor files. Images and scans go through image to PDF instead.

When should I choose PDF/A instead of a normal PDF?

Choose PDF/A only when someone asks for it. It is the ISO 19005 archival profile: every font is embedded, encryption is not allowed and the file must not depend on anything outside itself. Many court e-filing systems, national archives and thesis repositories require it; for email and normal uploads, plain PDF is the better fit.

Will a spreadsheet print across too many pages?

Wide sheets used to spill onto extra pages, which is why Fit sheet width to page is on by default: every column is scaled to fit one page width. If the text gets too small, switch Orientation to landscape, or set Spreadsheet sheets to Active sheet only to skip tabs you do not need.

Can I keep my speaker notes when converting slides?

Yes. Turn on Include speaker notes under Advanced settings and each PowerPoint or Keynote slide is printed with its notes below it, which is the layout handouts and teaching packs usually need. Leave it off for a clean deck to share with an audience.

Why does the PDF use a different font than my document?

The font was not embedded in the source file and is not available on the conversion server, so a similar one was substituted. Keep Embed fonts on, and if the font is unusual, embed it in Word first (File, Options, Save, Embed fonts in the file) before uploading.

Can I password-protect the PDF while converting?

Yes, type a password into Open password and the PDF will ask for it before it opens. The option is not available with PDF/A, because the archival standard forbids encryption. To add a password to a PDF you already have, use protect PDF.

Do hidden comments or the author name end up in the PDF?

Comments and tracked changes stay out unless you turn on Include comments. The author name, company and editing history are copied as document properties by default; turn on Remove metadata if you would rather not share them.
