XLSX to PDF Converter

Spreadsheets are the hardest office files to print well: columns spill onto extra pages and tabs get lost. This converter fits each sheet to the page width in landscape, so the PDF reads like the workbook on your screen.

How to use this tool

  1. 1

    Upload the workbook

Add .xlsx files, or older .xls, macro-enabled .xlsm, OpenDocument .ods and .csv. Up to 20 workbooks per batch, 95 MB each.

  2. 2

    Choose sheets and layout

All sheets, landscape and Fit sheet width to page are preselected. Under Advanced settings pick Active sheet only for a single report, or switch Orientation back to Same as source for tall, narrow lists.

  3. 3

    Convert and check

Press Convert to PDF, open the result and scroll through each sheet. Uploads and PDFs are removed from the server after 30 minutes.

Excel decides page breaks at print time, based on the printer and paper of whoever opens the file. Converting to PDF settles that once: values frozen, columns scaled to fit, every sheet in order.

Convert Excel to PDF online with print areas and sheet widths under control

The .xlsx format arrived with Excel 2007 and raised the grid to 1,048,576 rows by 16,384 columns. Nobody prints that, but plenty of people need to send a quarterly report, an invoice register or a class grade sheet as a PDF, and Excel's own export follows the page setup saved in the file. If no one set one up, a 14-column budget turns into four pages of three columns each, read left to right and top to bottom in an order nobody can follow.

This page starts from the settings most workbooks need. Orientation is landscape because a typical sheet is wider than it is tall. Fit sheet width to page shrinks the used range so all columns fit on one page width while rows continue downward. Spreadsheet sheets is set to all, so every tab becomes its own run of pages in the order of the tabs.

If you set a print area in Excel (Page Layout, Print Area), that range is normally what gets converted, which is the cleanest way to leave out helper columns or scratch calculations. For one-off reports, choosing Active sheet only is quicker: save the workbook with the report tab selected, then upload it.

Excel to PDF problems and how to fix them

  • Cells show ##### in the PDF.

Excel displays hash marks when a number is wider than its column. Widen the column in the workbook, save, and convert again; the PDF shows what Excel shows.

  • There are blank pages at the end.

Formatting or a stray value far below the data stretches the used range. Delete the empty rows and columns after your data, or set a print area.

  • Gridlines are missing.

Excel does not print gridlines unless Print is ticked under Gridlines on the Page Layout tab. Turn it on, or add cell borders, before uploading.

  • Text is too small to read.

The sheet is very wide. Pick A3 or Legal under Page size, or hide columns the reader does not need.

  • Only one of several tabs came through.

Check that Spreadsheet sheets is set to All sheets, not Active sheet only.

XLSX

Microsoft Excel workbook

XLSX is Microsoft Excel's default workbook format since Office 2007, based on the Office Open XML standard. It stores multiple sheets, formulas, formatting, charts, pivot tables and data validation in a ZIP package of XML. It supports over a million rows per sheet and is the default exchange format for business spreadsheets. Google Sheets, LibreOffice and Numbers open XLSX, though macros and advanced features may not carry over.

PDF

Portable Document Format

PDF was created by Adobe in 1993 and became the open ISO 32000 standard in 2008. It fixes text, fonts, images and layout so a document looks the same on every screen and printer. PDFs can contain forms, signatures, links, attachments and searchable text, and the PDF/A variant is used for long-term archiving. The fixed layout makes PDFs hard to edit, and scanned PDFs contain only images unless OCR is applied. Every browser and operating system can open them.

An .xlsx only shows its full width on a screen and recalculates for whoever opens it; a PDF freezes the values and fits the columns onto printable pages for accountants, clients and auditors.

Excel to PDF questions

How do I change Excel to PDF without the columns breaking across pages?

Keep Fit sheet width to page switched on. It scales each sheet so every used column fits across one page width, and rows continue onto the next page as needed. Very wide sheets get small text, so choose A3 or Legal under Page size for those.

Can I convert only one sheet of the workbook?

Yes. Choose Active sheet only under Advanced settings; the converter uses the sheet that was selected when the workbook was last saved. Save the file in Excel with the right tab open before uploading.

Is this Excel to PDF converter online free for big files?

Yes. Workbooks up to 95 MB each and 20 per batch convert without charge or a watermark. A workbook near Excel's limit of 1,048,576 rows would produce thousands of pages, so convert a filtered copy or a single sheet instead.

Do formulas still work in the PDF?

No. A PDF shows the calculated values as they were at the last save. If the recipient needs to check or change the math, send the .xlsx as well, or export the data with XLSX to CSV.

Can I protect a salary sheet or budget before sending it?

Type a password in Open password under Advanced settings. The PDF then asks for it before showing any page. Tick Remove metadata too if the workbook came from a template with someone else's name.

What if I only received a PDF and need the spreadsheet back?

Use PDF to Excel. It rebuilds tables from the PDF pages, which works well for clean exports like the ones made here.
