Why Mac users and their recipients both look for this

Apple released Pages in 2005 as part of iWork, made it free with new Macs and iOS devices in 2013, and free for everyone in 2017. Since then it has become the default word processor for many students and freelancers who never bought Office. The catch shows up when the document leaves Apple's world: a teacher grading on Windows, an HR system that accepts only PDF and Word, or a client on Android sees an unknown file type.

Pages itself exports PDF natively, so a Mac user with the document open can solve this in seconds. The trouble is that the person holding the .pages file is often the recipient, not the author. Apple's own workaround is the browser version of Pages at iCloud.com, which requires an Apple Account. Uploading the file here needs no account at all.

Once you have the PDF, the usual adjustments apply. Add an Open password for a contract or medical letter, or shrink the result with Compress PDF if the document is full of photos from a Pages template.

PAGES

Apple Pages document

PAGES is the document format of Apple Pages, the word processor included with macOS, iPadOS and iOS since 2005. It stores text, layout, images and page design in a package that only Apple's apps fully understand. Pages can export to DOCX and PDF, but Windows, Android and Microsoft Word cannot open .pages files directly. Some upload forms and email recipients therefore cannot use them.

Portable Document Format

PDF was created by Adobe in 1993 and became the open ISO 32000 standard in 2008. It fixes text, fonts, images and layout so a document looks the same on every screen and printer. PDFs can contain forms, signatures, links, attachments and searchable text, and the PDF/A variant is used for long-term archiving. The fixed layout makes PDFs hard to edit, and scanned PDFs contain only images unless OCR is applied. Every browser and operating system can open them.

A .pages document only opens in Apple's Pages app, so teachers, employers and Windows colleagues who receive one see an unknown file; PDF delivers the same pages to every operating system.

Pages to PDF questions

Why can't Windows open a .pages file?

Pages is Apple's word processor and its file format is not published. Microsoft Word, Google Docs and LibreOffice cannot read current .pages files, and Apple makes no Pages app for Windows or Android, so a PDF is the reliable way to share the content.

Is the layout of my Pages template kept?

Yes, the PDF follows the page layout stored in the document, including columns, image placement and headers. If a template uses an Apple-only font, a similar font may be substituted; exporting from Pages on the Mac avoids that.

How do I get a PDF if I am the one with the Mac?

In Pages on the Mac, choose File, Export To, PDF; on iPhone or iPad tap the More button, choose Export, then PDF. Use this page when the file reached you on another device or you need options such as PDF/A or a forced Letter page size.

Can I edit the document instead of just reading it?

Convert it to Word with Pages to Word. You get an editable .docx; complex Pages layouts may need small fixes afterwards. For reading, printing and forwarding, the PDF is the better choice.

The Pages file came with a Keynote deck. Can I convert both?

Yes, drop them into the same batch. The Keynote file follows the slide rules described on Keynote to PDF: one slide per page, notes only if you ask for them.
