Why a .numbers file needs converting to Excel

Apple released Numbers in 2007 as part of iWork '08. It has come free with new Macs and iOS devices since 2013 and free for everyone since 2017, which makes it the first spreadsheet many Apple users open: a household budget, a club membership list, an invoice log or a school assignment. The trouble starts when the file leaves the Apple world.

Since Numbers 3.0 in 2013, the file is a compressed package of Apple's IWA records rather than an open XML format like XLSX or ODS. Microsoft Excel, Google Sheets and most web portals do not read it. A Windows user who receives one by email sees an unfamiliar file with no app to open it. Converting to XLSX, the Office Open XML workbook format, gives a file every spreadsheet program reads. Spreadsheets from LibreOffice have the same problem in reverse; ODS to XLSX handles those.

NUMBERS

Apple Numbers spreadsheet

NUMBERS is the file format of Apple Numbers, the spreadsheet app included with macOS, iPadOS and iOS since 2007. It uses a free-form canvas where several tables, charts and images sit on one sheet. Only Apple's apps open .numbers files natively; Excel, Google Sheets and Windows cannot read them without conversion. Numbers itself can export to XLSX, CSV and PDF.

XLSX

Microsoft Excel workbook

XLSX is Microsoft Excel's default workbook format since Office 2007, based on the Office Open XML standard. It stores multiple sheets, formulas, formatting, charts, pivot tables and data validation in a ZIP package of XML. It supports over a million rows per sheet and is the default exchange format for business spreadsheets. Google Sheets, LibreOffice and Numbers open XLSX, though macros and advanced features may not carry over.

Numbers files go to Excel because they leave Apple's world: a Windows colleague, an accountant, a school portal or Google Sheets cannot open .numbers, while XLSX is the spreadsheet format everyone accepts.

What changes when Numbers becomes XLSX

Kept, changed and left behind

  • Cell values, text and dates are kept on every sheet.
  • Sheet names carry over, cut to Excel's 31-character limit.
  • Images, shapes and text boxes on the canvas are not table data and are left out.
  • Checkboxes, star ratings and sliders become their underlying values.
  • Several tables on one canvas need checking, as Excel has one grid per sheet.
  • A password-protected Numbers file has to be unlocked in Numbers before it can be converted.

Numbers to Excel questions

Why can't Excel on Windows open a .numbers file?

Numbers files use Apple's own storage format, which Microsoft never added to Excel on any platform, including Excel for Mac. Windows may even show the file with no icon or ask which app to use. Converting to XLSX is the standard way to hand it to an Excel user.

Do I need a Mac or an Apple ID to convert Numbers to Excel?

No. The conversion runs on the uploaded file, so a Windows PC, a Chromebook or an Android phone works the same way. An Apple ID is only needed for the alternative route through Numbers on iCloud.com.

Are formulas from Numbers converted to Excel formulas?

Values are always carried over. Common functions such as SUM, AVERAGE, IF and VLOOKUP exist in both apps, but Numbers has a few functions and table-reference styles that Excel does not, so treat the workbook's numbers as the reliable part and recheck any formula you plan to edit.

What happens to a sheet that holds several tables?

Numbers places tables freely on a canvas, while an Excel worksheet is one grid. Check sheets that held more than one table after conversion, and move a table to its own sheet in Numbers beforehand if you want it as a separate tab.

Can Google Sheets open a Numbers file directly?

No. Google Sheets imports XLSX, XLS, ODS, CSV and TSV, but not .numbers. Convert first, then upload the XLSX to Google Drive and open it with Sheets.

I only need the data for an import. Should I pick CSV instead?

Yes, if the target is an importer rather than a person. Numbers to CSV writes plain rows without workbook features, which is what store, CRM and database imports expect.
