Answer

How do I convert Excel to PowerPoint?

Upload the workbook and press Convert to PPT. Each sheet's used range becomes PowerPoint tables on one or more slides, keeping number formats, bold headers and cell colors.

Excel to PPT: how sheets turn into slides

The usual way to get numbers onto slides is a screenshot or a pasted picture, which nobody can fix when a figure changes the night before the meeting. Converting writes real PowerPoint tables instead. Every value stays editable text, so you can recolor a row, delete a column or fix a typo directly on the slide.

Each sheet of the workbook starts a new slide, titled with the sheet's name. Empty rows and columns around the data are left out, and number formats such as currency, percentages and thousands separators are written as they appear in Excel, not as raw values.

How much of a spreadsheet fits on one slide

Slide sizePixels at
72 DPI150 DPI300 DPI
Widescreen 16:9 (13.33 × 7.5 in)960 × 5402000 × 11254000 × 2250
Standard 4:3 (10 × 7.5 in)720 × 5401500 × 11253000 × 2250
A4 paper (10.83 × 7.5 in)780 × 5401625 × 11253250 × 2250

Widescreen has been PowerPoint's default since PowerPoint 2013; older decks use 4:3. Either way a slide is 7.5 inches tall, and a table set in 12 pt text needs roughly a quarter inch per row, so around 20 rows fit under a title. An Excel sheet can hold 1,048,576 rows, which is why the Excel to PDF handout is often the better home for the full table.

Getting a sheet ready for the slides

  1. One message per sheet

Split a large table into summary sheets: one for totals, one per region. Each becomes its own slide.

  2. Hide the workings

Delete helper columns and lookup tables, or keep them on later tabs and use First sheet only.

  3. Round for reading

Set number formats to the precision you will say aloud; four decimals are noise on a projector.

XLSX and PPT format facts

XLSX

Microsoft Excel workbook

XLSX is Microsoft Excel's default workbook format since Office 2007, based on the Office Open XML standard. It stores multiple sheets, formulas, formatting, charts, pivot tables and data validation in a ZIP package of XML. It supports over a million rows per sheet and is the default exchange format for business spreadsheets. Google Sheets, LibreOffice and Numbers open XLSX, though macros and advanced features may not carry over.

PPT

Microsoft PowerPoint 97–2003 presentation

PPT is the binary presentation format used by PowerPoint from PowerPoint 97 until PPTX replaced it in 2007. It stores slides, images, notes and animations in a proprietary structure, and files tend to be larger than PPTX. Newer PowerPoint features cannot be saved in it. PowerPoint, LibreOffice and Google Slides still open PPT files.

PPT converter

Spreadsheets become PowerPoint decks when numbers built for analysis have to be presented: a monthly report for a board meeting, a sales table for a team review, or results a teacher shows a class on a projector.

Formulas stay behind

A slide table holds text, not formulas. Totals and ratios are written as their results; recalculate in Excel and convert again if the numbers change. If a modern PPTX deck has to run on the same old PCs, PPTX to PPT explains what the older format keeps.

Excel to PPT questions

Will the slides update when the workbook changes?

No. The converter writes the values the cells held at that moment, so the deck is a snapshot. For a table that must follow the workbook, copy the range in Excel and use Paste Special > Paste Link in PowerPoint on a computer that has both files.

Why does this page produce PPT and not PPTX?

PPT opens in every PowerPoint since 1997, in LibreOffice, Keynote and Google Slides, and on the older PCs some meeting rooms still run. If everyone uses PowerPoint 2007 or later, pick PPTX under Convert to; the tables come out the same.

What happens to a sheet with hundreds of rows?

Rows that do not fit on one slide continue on the next slide, so nothing is cut off. A slide is a poor place for that much data, though; filter the sheet to the rows you will talk about, or send the full table as a PDF handout.

Are Excel charts converted?

With Include images on, charts are placed on the slides as pictures that look like the originals. To edit a chart's data in PowerPoint, rebuild it there or paste it from Excel as a chart object.

Can I put only one sheet of a workbook on slides?

Set Spreadsheet sheets to First sheet only and the converter ignores the other tabs. Move the sheet you want to the first position in Excel before uploading.
