Excel to VCF Converter

Phones do not import spreadsheets, but every phone imports vCards. Upload the workbook with your contact list and download a .vcf file that adds all of them to an address book in one step.

How to use this tool

  1. 1

    Upload the contact sheet

Add an .xlsx, .xls, .ods or .numbers file with one contact per row and column names in row 1. The first sheet of the workbook is read.

  2. 2

    Check the header option

First row is header is on, so the column names decide which vCard field each value goes to. Trim spaces removes stray spaces before and after names and numbers.

  3. 3

    Convert to VCF and import

Press Convert to VCF, then open or import the downloaded file on the phone or in Google Contacts or iCloud.

To get contacts from Excel onto a phone, convert the sheet to VCF: each row becomes one vCard with name, numbers, email and company, and the whole list arrives in a single file.

From an Excel contact list to a phone

vCard has been the common language of address books since the Versit Consortium introduced it in the mid-1990s; the IETF later standardized version 3.0 as RFC 2426 and version 4.0 as RFC 6350 in 2011. iPhone, Android, Outlook, Gmail and iCloud all read it. Spreadsheets, on the other hand, are where contact lists are actually built: a coach collects parents' numbers in a sheet, an office manager keeps the staff directory in Excel, a CRM exports leads as XLSX.

Converting bridges the two without typing anyone in by hand. It also works in the other direction: VCF to Excel pulls a phone's address book into a sheet for cleaning, and this page sends the cleaned list back.

Where to import the VCF file

Address books that accept a multi-contact VCF
OrganisationRequirementSource
Google ContactsImport on the left menu; accepts vCard and CSV. Contacts sync to every Android phone on that account.contacts.google.com
iCloud ContactsImport vCard from the settings menu on the web; contacts then sync to iPhone, iPad and Mac.icloud.com
Android Contacts appImport from a .vcf file saved on the phone, under Fix and manage or Settings, depending on the maker.—
iPhone without iCloudOpen the .vcf from Mail or Files and tap Add All Contacts.—

Prepare the spreadsheet for Excel to VCF

  1. One person per row

No merged cells, subtotal lines or blank rows between groups. A second phone number goes in its own column, not a second row.

  2. Clear column names

Use headers such as First Name, Last Name, Mobile Phone, Email and Company so each column maps to the right vCard field.

  3. Numbers stored as text

Format phone columns as Text and use the +country code form so nothing is rounded or stripped.

Columns the converter cannot match to a contact field, such as an internal ID, are not lost from your workbook, but they do not travel into the vCard. If a value matters on the phone, like a membership number, put it in a Notes column. The other contact and spreadsheet routes are listed on the data converter page.

XLSX and VCF format facts

XLSX

Microsoft Excel workbook

XLSX is Microsoft Excel's default workbook format since Office 2007, based on the Office Open XML standard. It stores multiple sheets, formulas, formatting, charts, pivot tables and data validation in a ZIP package of XML. It supports over a million rows per sheet and is the default exchange format for business spreadsheets. Google Sheets, LibreOffice and Numbers open XLSX, though macros and advanced features may not carry over.

VCF

vCard contact file

VCF files store contact information using the vCard standard, created by the Versit Consortium in 1995 and now maintained by the IETF. A single file can hold one or many contacts with names, phone numbers, emails, addresses, photos and notes. Phones, Gmail, Outlook and Apple Contacts all import and export VCF. Different vCard versions (2.1, 3.0 and 4.0) handle special characters and fields differently, which can cause minor issues when moving contacts.

VCF converter

Excel contact lists become vCards at the moment they need to reach a phone: a sales team's call list, guests for an event, or contacts exported from a CRM that should ring through with a name on screen.

Excel to VCF questions

Do I need to save the Excel file as CSV first?

No. XLSX and the older XLS format are read directly, as are LibreOffice ODS and Apple Numbers files. If the list happens to be a CSV already, CSV to VCF is the matching page.

Why did some phone numbers lose their leading zero?

Excel stored them as numbers before the file was ever converted, and a number cannot start with 0. Format the phone column as Text and retype the affected entries, or better, write them in international form such as +44 7700 900123, which also lets the phone dial them from abroad.

Can I put the imported contacts into a group?

Google Contacts does it for you: each import gets a label named after the import date, which you can rename to Team, Wedding guests or Class parents. On an iPhone with iOS 16 or later, you can gather them into a list in the Contacts app.

Will duplicates of existing contacts be merged?

Not during the conversion, since each row becomes a new card. After importing, Google Contacts offers Merge and fix, and recent versions of iOS show a duplicates notice at the top of the Contacts list. Clean obvious duplicates in Excel first and there is less to merge.

My workbook has several tabs. Which one becomes contacts?

The first sheet, because Sheets to convert is set to First sheet on this page. Drag the contact list to the leftmost tab before uploading, or copy it into a new workbook of its own.
