PPT to Excel Converter

Years of figures often survive only in slide decks: last decade's quarterly reviews, a supplier's price list, a conference talk's results. Convert the PPT to Excel and the tables on those slides turn back into cells.

How to use this tool

  1. 1

    Upload the presentation

Add a .ppt, .pptx, .pps or .odp file, up to 20 at once and 95 MB each.

  2. 2

Narrow it to the right slides

Convert to is XLSX (Excel). Under Pages, choose Page range and type the slide numbers, for example 4-9, 12, if only some slides hold tables.

  3. 3

    Convert and clean up

Press Convert to XLSX, open the workbook and check number columns before you build formulas on them.

Upload the .ppt and press Convert to XLSX. Each table on the slides becomes a block of cells, labeled with its slide number, so you can sort, filter and recalculate the numbers.

Why the numbers end up stuck in old PPT decks

A presentation is where data goes to be seen, not kept. The analyst builds a workbook, copies the summary onto slides, sends the deck around, and the workbook lives on a laptop that is later wiped. Years on, the deck is the only copy. Finance teams rebuilding a history, researchers reusing published results and buyers comparing old price lists all run into this.

Retyping a table from a slide is slow and error-prone. Converting reads the table cells directly from the file, so the digits come out exactly as they were typed. Going the other way, from a workbook to a meeting, is what Excel to PPT is for.

1997the year PowerPoint 97 introduced the binary .ppt format that stayed the default through PowerPoint 2003

Microsoft published the full specification of that format, known as MS-PPT, in 2008. PowerPoint 2007 had already replaced it with PPTX.

How slide tables become worksheet rows

  1. Read the slides

Every slide in the chosen range is opened and the tables on it are located.

  2. Map cells

Each table cell becomes one worksheet cell; merged header cells span the same columns in Excel.

  3. Write the workbook

Tables are placed one under another with the slide number above each, ready to copy into your own sheets.

PPT and XLSX format facts

PPT

Microsoft PowerPoint 97–2003 presentation

PPT is the binary presentation format used by PowerPoint from PowerPoint 97 until PPTX replaced it in 2007. It stores slides, images, notes and animations in a proprietary structure, and files tend to be larger than PPTX. Newer PowerPoint features cannot be saved in it. PowerPoint, LibreOffice and Google Slides still open PPT files.

XLSX

Microsoft Excel workbook

XLSX is Microsoft Excel's default workbook format since Office 2007, based on the Office Open XML standard. It stores multiple sheets, formulas, formatting, charts, pivot tables and data validation in a ZIP package of XML. It supports over a million rows per sheet and is the default exchange format for business spreadsheets. Google Sheets, LibreOffice and Numbers open XLSX, though macros and advanced features may not carry over.

PowerPoint files go to Excel when the data behind a presentation is needed again and the spreadsheet it came from is lost: figures in an archived board deck, a price table a vendor sent only as slides, or survey results someone presented but never shared as a file.

PPT to Excel questions

Can a chart on a slide become numbers in Excel?

A chart's numbers are stored in an embedded data sheet, not on the slide itself. Open the deck in PowerPoint, right-click the chart and choose Edit Data to see and copy them. Charts in decks from PowerPoint 2003 and earlier usually open in the older Microsoft Graph datasheet instead.

The table on my slide is really a picture. What now?

A pasted screenshot holds pixels, not cells, so there is nothing to extract as text. Save the slide as an image and run it through the image to Excel converter, which recognizes the table's rows and columns.

Why do some numbers arrive as text in Excel?

Slide tables store everything as text. Plain numbers, percentages and amounts with a currency sign are written as numbers, but a cell such as 12 units or approx. 40 stays text. Use Data > Text to Columns or a VALUE() formula to fix the column.

Does it work with PPTX and other slide formats?

Yes. The same conversion reads .pptx, .pps, .ppsx, .odp and Keynote .key files. Old .ppt decks are the usual case only because they are the ones nobody can open on the office laptop any more.

I only need the words from the slides, not tables. Which tool?

Use PPT to text. It writes titles, bullets and speaker notes into one plain-text file, which is easier to search or translate than a workbook.
