Why old .ppt files cause trouble today

PPT is the binary format PowerPoint used from version 97 through 2003. PowerPoint 2007 replaced it with PPTX, a ZIP package of XML parts that later became part of the ISO/IEC 29500 standard. For a few years Microsoft offered the Office Compatibility Pack so that Office 2000, XP and 2003 could read the new format, and since then the traffic has run the other way: current software still opens .ppt, but treats it as a second-class file.

The friction shows up in small ways. Some features, such as Morph transitions, newer chart types and modern themes, are unavailable until the deck is upgraded. Company policies may block legacy binaries outright. Cloud tools and search indexes handle Office Open XML better than the old binary layout. If someone later needs the old format back for a venue PC, PPTX to PPT reverses the trip.

PPT

Microsoft PowerPoint 97–2003 presentation

PPT is the binary presentation format used by PowerPoint from PowerPoint 97 until PPTX replaced it in 2007. It stores slides, images, notes and animations in a proprietary structure, and files tend to be larger than PPTX. Newer PowerPoint features cannot be saved in it. PowerPoint, LibreOffice and Google Slides still open PPT files.

PPTX

Microsoft PowerPoint presentation

PPTX is Microsoft PowerPoint's default presentation format since Office 2007, based on the Office Open XML standard. It stores slides, layouts, images, charts, speaker notes, transitions and embedded media in a ZIP package of XML. It is the most widely used format for slide decks in business and education. Google Slides, Keynote and LibreOffice Impress open PPTX, though fonts, animations and layout may change slightly.

PPT files are upgraded to PPTX when an archive of 1990s and 2000s decks has to be reused today: training slides that need Morph or new themes, a deck blocked by a company file policy, or an old talk headed to Google Slides or Keynote.

Linked media and macros in an old deck

Videos and sounds may be links, not content

Decks from PowerPoint 2003 and earlier usually point to movie and sound files elsewhere on the original computer. The PPTX keeps those links, but they break once the file moves. Reinsert the clips after converting so they are stored inside the deck. Decks from Keynote go through Keynote to PPTX instead.

PPT to PPTX questions

Why does PowerPoint at work refuse to open my .ppt file?

IT departments can block legacy formats through the Trust Center's File Block settings, which include PowerPoint 97–2003 presentations. Converting to PPTX produces a file the policy allows, without asking anyone to loosen it.

Will the videos in a deck from PowerPoint 2003 still play?

Only if the video file is still where the deck expects it. PowerPoint 2003 and earlier linked to movies on disk rather than storing them, and embedding video in the presentation arrived with PowerPoint 2010. After converting, reinsert each clip with Insert, Video so it travels inside the PPTX.

What happens to VBA macros in the old deck?

A .pptx cannot contain macros by design; macro-enabled decks use the .pptm extension. Slides, text and images convert normally, but any macro code from the .ppt is left out, which is usually what security teams want.

Do .pps slide shows convert as well?

Yes. A .pps file is a PPT that opens straight into slide-show mode. The converted file is a regular .pptx that opens in editing view, which makes it easier to update before you present.

Will an upgraded deck look exactly like the original?

Text, layout, images and charts come across, but a modern PowerPoint draws some old effects, such as early WordArt styles and shadows, with today's rendering engine. Skim each converted deck in slide sorter view before using it in front of an audience.
