Numbers to CSV for imports, not for people

Apple released Numbers in 2007 as part of iWork '08, and it has come free with every Mac, iPad and iPhone for years. That makes it the spreadsheet many small sellers, teachers and freelancers actually use. Its files, though, are packages in an undocumented Apple format that no import screen on the web understands.

CSV is the opposite: no styling, no tables floating on a canvas, just lines of values. That is what Shopify, Mailchimp, HubSpot and almost every bank upload expect. If the file is going to a person rather than an importer, give them a workbook with Numbers to Excel instead, since CSV drops everything that makes a sheet pleasant to read.

Prepare a Numbers sheet before converting to CSV

  1. One table per sheet

Numbers lets a sheet hold several tables side by side. A CSV is a single grid, so give each table its own sheet and convert with All sheets.

  2. One header row only

Importers map columns by the first line. Remove title rows above the header and merge two-line headers into one.

  3. No footer or note rows

Totals, averages and notes typed under the data become extra records. Keep them on a separate sheet.

Formulas are written as their results, so a price column computed from cost and margin arrives as plain numbers, which is what an importer wants anyway. Charts, images, comments and cell colors are left behind. Leading zeros in values formatted as text, such as 02108 in a ZIP code column, stay intact in the CSV file; it is only Excel that may hide them when it opens the file. Apple Numbers and CSV format facts

NUMBERS

Apple Numbers spreadsheet

NUMBERS is the file format of Apple Numbers, the spreadsheet app included with macOS, iPadOS and iOS since 2007. It uses a free-form canvas where several tables, charts and images sit on one sheet. Only Apple's apps open .numbers files natively; Excel, Google Sheets and Windows cannot read them without conversion. Numbers itself can export to XLSX, CSV and PDF.

CSV

Comma-separated values

CSV is a plain-text format for tables in which each line is a row and commas separate the columns. It has been used since the early days of computing and is described in RFC 4180, though many variants use semicolons or tabs and different text encodings. Nearly every spreadsheet, database and analytics tool can import and export it, which makes it the default format for moving data between systems. CSV stores only values, with no formulas, formatting, multiple sheets or data types.

Numbers goes to CSV when a list made on a Mac or iPad has to be imported somewhere, such as a store catalog, a mailing list or a bank's bulk payment screen, and that importer reads plain rows, not Apple documents.

Numbers to CSV FAQ

Why did my footer row with totals end up as a data row?

Numbers marks footer rows specially, but CSV has no such idea, so the totals arrive as one more line of values. Importers then try to create a product or contact called Total. Delete the footer row, or convert a copy of the document without it.

How do I get every sheet of a Numbers document as CSV?

Set Sheets to convert to All sheets. You receive a ZIP with one CSV per sheet, each named after its tab. If you have never opened a ZIP on your phone, this unzip guide covers iPhone, Android and desktop.

Should the CSV from Numbers have a byte order mark?

Only if a person will open it in Excel on Windows, which uses the BOM to recognize UTF-8 and otherwise garbles accented names. Upload screens almost always want plain UTF-8, the starting value here.

What happens to checkboxes, star ratings and pop-up menus?

Numbers stores these interactive cell formats as ordinary values underneath, and the CSV gets that value: true or false for a checkbox, a number from 0 to 5 for a star rating, and the chosen item's text for a pop-up menu.

Can Numbers open the CSV again later?

Yes. Numbers opens CSV files directly on Mac, iPad and iPhone and turns them into a new document with one table, so the round trip costs you only formatting, not data.
