Compress PDF to 1 MB
1 MB is the limit on many job application forms, insurance and HR portals, and it keeps an email attachment small enough for any mail server. Preset to 1 MB, this compressor takes reports, contracts and scans of almost any length below the line.

Max 95 MB per file· Up to 20 files· Deleted after 30 minutes
Files are processed on our servers and deleted after 30 minutes.
Images above this DPI are downsampled. 150 is sharp on screen and fine for office printing; 72 is screen-only.
JPEG quality for re-compressed images. 70 keeps scanned text readable; below 40 artefacts appear around letters.
When aiming for a target size, image quality never drops below this; resolution is reduced instead.
How to use this tool
- 1
Choose the PDF
Drop in a report, a contract or a scan, or up to 20 PDFs at once, each up to 95 MB.
- 2
Keep the 1 MB setting
Target size is 1 and Unit is MB. For a form that says "below 1 MB", enter 1000 with Unit set to KB for a small safety margin.
- 3
Compress and send
Press Compress, download the result and attach it, or upload it where it was rejected before.
How do I convert a PDF to 1 MB?
Upload it here; the target is already 1 MB. The tool shrinks the images inside the PDF until the whole file is at or just under 1 MB, and leaves the text as text.
Why the 1 MB limit keeps coming up
Applicant tracking systems, intranet forms and claim portals often set 1 MB per attachment because it keeps storage predictable and upload pages quick on mobile. Court e-filing cares about size too: US federal courts accept filings through CM/ECF as PDF, and each district's electronic filing procedures set a maximum size per file, so large exhibits have to be split or reduced.
Email is the other reason. Attachments travel encoded as Base64, the MIME encoding defined in RFC 2045, which makes them about a third larger in transit: a 1 MB PDF counts as roughly 1.37 MB against a server's message limit. Gmail's 25 MB and Outlook.com's 20 MB attachment limits are generous, but corporate gateways are often set lower, and a recipient's server may refuse what yours sent. A file below 1 MB gets through everywhere.

What happens to the file on the way to 1 MB
Measure
The PDF is taken apart into what costs bytes: page images, embedded fonts, metadata and form data.
Reduce
Images are re-encoded at the highest quality that fits; resolution drops only when quality reaches the floor of 30.
Rebuild
Fonts are subset, metadata removed, and the PDF is written at or just under 1 MB.
Text and vector drawings are rarely the problem. A 40-page contract exported from Word is often only a few hundred kilobytes; the same contract scanned is a stack of page photos. So when a PDF is over 1 MB, look at where the images are: scanned pages, photos in a report, or a high-resolution logo repeated on every page.
For long scans, Convert to grayscale buys the most room. If a document still comes out soft, consider whether every page has to go; compress PDF to 2 MB is the next step up for portals that allow it, and the guide on compressing a PDF without losing quality explains each setting in depth.
1 MB PDF questions
Is 1 MB the same as 1000 KB?
Not always. Counted in binary units, 1 MB is 1,024 KB or 1,048,576 bytes; in decimal units it is 1,000 KB or 1,000,000 bytes. Windows Explorer uses the binary count, so a portal using the decimal count can reject a file that Windows shows as 990 KB. A target of 1000 KB clears both.
Can a scanned 50-page PDF fit in 1 MB?
Often, in grayscale at modest resolution: about 20 KB per page is enough for typed text that reads well on screen. Pages with photos or color charts take more, so expect some softening. If the result is hard to read, split the document and send it in parts.
Will my e-filed court document stay text-searchable?
If the PDF had real text, it keeps it; compression works on images, fonts and metadata, not on the words. A scan without a text layer stays without one. Some courts require searchable filings, so run scans through OCR PDF before compressing.
Can I compress a password-protected PDF to 1 MB?
A PDF that needs a password to open has to be unlocked first. Use unlock PDF with the password you know, then compress the unlocked copy.
What does Fast web view do?
Fast web view reorders the PDF so a browser can show page 1 before the rest has downloaded, which helps when the file is linked from a website or an intranet. It does not make the file smaller, so leave it off for uploads and email.
Why is my 1 MB PDF still rejected by the HR portal?
Check the name and the contents as well as the size. Some systems refuse files with special characters in the name or with fillable form fields. Turning on Flatten form fields and renaming the file with plain letters and numbers fixes most of these.
