Compress PDF to 5 MB

5 MB is the most common upper limit on job and government portals, and the largest PDF you can attach to an email without second thoughts. Upload a heavy file here and it comes back just under 5 MB, with as much detail as that allows.

How to use this tool

  1. 1

    Upload the large PDF

Add a file of any size up to 95 MB, or up to 20 files in one batch. Scans, exported reports and portfolios all work.

  2. 2

    Keep the 5 MB target

Target size is 5 with the unit MB. For a portal that says "less than 5 MB", switch the unit to KB and type 4900.

  3. 3

    Compress and save

Press Compress and download the result. Keep the original for printing; the compressed copy is for uploading and sending.

Most PDFs over 5 MB are not long, they are heavy: a few photos or scanned pages stored at print resolution. That is the easiest kind of weight to remove.

Compress PDF under 5 MB for job and government portals

USAJOBS, the US federal hiring site, accepts uploaded resumes and supporting documents up to 5 MB each, and many corporate applicant tracking systems use the same number for attachments. Immigration and benefits portals sit in the same range: USCIS online filing has listed a limit of about 6 MB per evidence file, so a 5 MB PDF passes with room to spare. Universities, grant systems and licensing boards often choose 5 MB for supporting documents because it fits a full transcript scan without letting in 100 MB files.

Email is the other reason to aim for 5 MB. Encoding adds about a third, so a 5 MB PDF uses close to 7 MB of a message limit: three fit in Gmail's 25 MB, two in Outlook.com's 20 MB. For larger sets, sending the documents in separate emails is more reliable than one message near the limit.

How the PDF compressor gets a file to 5 MB

  1. Find the weight

Page images, embedded fonts, metadata and form data are measured separately; images are almost always the bulk.

  2. Downsample images

Images are re-encoded at the highest JPEG quality that fits, and their resolution is lowered only when quality hits its floor.

  3. Rebuild under 5 MB

Fonts are subset, metadata is removed, and the file is written at or just below the target.

When a PDF will not fit in 5 MB

At 5 MB most documents keep images near 200 DPI or more, so the result is still fine for office printing. The limit gets tight with scanned books, 100-page color statements and photo portfolios. For those, Convert to grayscale roughly halves what color scans cost, and lowering Lowest image quality keeps resolution up for longer at the price of some JPEG artefacts.

If even that is not enough, the document needs to travel in parts. The guide on how to split PDF files explains how to divide it by chapter or page range. For a portal that caps files lower, compress PDF to 4 MB is the next step down.

5 MB PDF questions

How do I compress a PDF under 5 MB for USAJOBS?

Upload it here with the 5 MB target, or type 4900 KB to be safe, and upload the result to your USAJOBS profile. Resumes built in a word processor are usually far smaller already; it is scanned transcripts and DD-214s that tend to exceed the limit.

How much smaller can a 50 MB PDF get?

A tenfold reduction to 5 MB is routine for scans and photo-heavy reports, because most of their size is image resolution beyond what screens show. A 50 MB file of vector drawings, such as architectural plans, compresses far less, since there are few images to reduce.

Should I compress a PDF that I am sending to a print shop?

No. Print shops want images at about 300 DPI at the printed size, and a 5 MB target may take a long brochure below that. Send the original, or use the shop's upload service, which usually accepts much larger files.

Why is my exported Word document over 5 MB?

Usually because of pasted photos at full camera resolution, or because the export embedded complete fonts. Compressing to 5 MB re-encodes the photos and Subset fonts trims the fonts; text stays selectable.

Is it safe to upload immigration evidence to a website?

Files travel over an encrypted connection, no account is needed, and uploads and results are deleted automatically 30 minutes after processing. The how it works page describes each step.
